Dot audit coming!! Help please!!

    The dot auditor did send me two documents with lists. It's nuts - just one document is like 4 pages just full of stuff and bullet points. I've spent like 50hours digging through it trying to comply with the list and gather documentation. it like never ends. He might as well just sent me the fmcsa rule book. grrrrr

    I almost failed mine.

    He told me in advance which drivers he was going to audit and for what time period so I got their logs ready and fuel receipts and toll receipts. I checked to make sure fuel receipts and toll receipts matched logs. They didn't always. Stupid things like the toll booth is in Canada but the driver logged time off duty at US customs. Auditor wanted to know why time off duty at US customs did not match the toll receipt.......well because it takes 15 minutes to get from the toll booth to the customs booth. If you were not a driver you wouldn't know that and auditor would call that falsifying logs.

    Also, I had one driver that cheated on his logs and I didn't know it. Everything looked in order but what I didn't know is that he went through an inspection that day. The auditor had a record of him being inspected 50 miles away from where his log placed him. False log.

    Finally, according to the records in his computer, virtually all of our inspections had defects. He said our failure rate and OOS rate was too high compared to our good inspections and he was going to fail me for that. I challenged this because I knew we had a TON of good inspections. The problem was that the DOT cops didn't enter the good inspections into the system...only the bad ones. Luckily I was able to produce the paper copies of the good inspections so we got a pass.

    The auditor came to our yard and it took about 6 hrs. I earned my money that day.

    what state were you in for this audit? I had like 5 inspections in 7 months all with problems, 2 inspections giving OOS:( im a single truck carrier. yeikes

    Your a 1 truck operation? Dont Sweat it UNLESS you have Had several accidents or Severe CSA activity.

    They usually dont mess around with 1 truck operations Unless you ask for it....(Due to the Fact That Many 1 truck guys dont even have an Office to File anything) I even seen 1 Truck independents living in a Truck, Dont even have a House /apt anywhere.

    Anyway...If you have already done your new entrant Audit.....Your good, Audits pop up when You do BAD things.To Trigger one

    Had the USDOT number and CVOR since 1982 but never had an audit. We are a three truck operation and were always "satisfactory - unaudited" until we had two trucks put out of service at the same time...they were literally OOS beside one another at the scale. This was ~2007 IIRC...right about the same time I showed up here. It was a nice way to start. The audit came shortly after that fiasco. Auditor said the two OOS is what triggered the audit.

    My new entrant safety audit is scheduled for June 16th - that's what I am dreading:) i got no federally reported accidents on file. My ISS score is like 12 - "pass".

    For your satisfactory - unaudited status - are you talking about the Ontario MTO audit? I just started my authority in August 2012 - having my US DOT audit tomorrow May 19, am not really worried about anything - but I am thinking the same thing that the MTO is going to eventually do some kind of "new entrant" audit sort of the same type deal?

    Yep.

    What is your home state for your USDOT number? If it's NY, don't they do the new entrant audit by mail or online or something like that?
