My husband and I own a small moving business in which we have a tractor trailer for our long hauls. We are, admittedly, new to this part of the business. We send our credit card along with the driver and the mover that rides with him for gas...I'm finding that they use the credit card for lots of $5-$10 purchases at the truck stops which I can only assume is for food and snacks as they aren't bringing me the receipts for these small purchases but they bring me the large fuel purchase receipts. I don't mind if they get something here or there but they've racked up over $100 in just the last week on these smaller purchases. ANYWAY....is this normal? Is this something I should expect? I want to know before I say anything to them as I try to be a fair and understanding owner. But, this seems a little extreme. Also, is there a good way to give them a card that only allows them to buy gas?? I'm thinking maybe that's the route I should go. Thanks so much!!

Most trucking companies use some type of fuel card. It allows the driver to purchase fuel and sometimes oil, coolant, washer fluid, etc. but does not allow anything else. The cards also require a driver-specific PIN when it is swiped so it can't be used if it is lost or stolen. There are several companies that specialize in this type of card service. The big one is COMDATA and its accepted at all major truck stop chains. EFS is another and there are many more, too.

Also, this is not acceptable behavior from your drivers. Unless you've given them specific permission to use your card for snacks and smokes, they are stealing from you. Put a stop to it now.

For smaller companies you should get a NASTC card. www.nastc.com/
    National
    Association of
    Small

    Companies

It is a fuel card that allows you a discount off of the pump price. I believe the current discount is $1 off. It is only a credit card that is used for fuel and oil, not showers or meals.

    You're being taken advantage of.

The fuel card is your best option. You could also simply deduct unauthorized purchases from their pay.
