IFTA/IRP Audit

    I am facing audit for motor carrier ifta/irp. I am using drive log sheets and fuel receipts, but I already found a mistake when looking through past records. My quantity of fuel purchased for one quarter was reported more than I am coming up with on receipts. I am assuming I made a mathmatical error, probably adding fuel cost off a couple receipts instead of quantity. Any recommendations? How much is this going to cost? Anyone else have this experience?

    There will be the difference in tax plus interest and penalty. Just like an IRS audit if you short payed them.

    Are you a single truck operation, or a fleet? Is is possible that someone lost the receipts and you added them in but forgot to make notes on it? Do you have fuel cards, and can you get all the information online?

    Thanks! I did find some fuel receipts, have lots of work to do to check returns. Audit is from 2007-2009. Really the first years I ever did IFTA, because we did local haul in Vegas for years before that. I did see the fees on back of actual return. Seems like one quarter I was off by a few cents on return and NVDMV charged me a $500 late file fee even though I filed on time. Does this sound right? Think it goes up every time$500 a pop. Didn't see that on the back of the return. It says $50 plus 1% x every month late. Will let you know how it goes?

    I'd fight that. If you can prove that you filed on time, then they have no reason to tack on that kind of a penalty. Find all the receipts that you can, and maybe create a spread sheet to show your totals, if you don't already have one.

    Just an update: Finally got my audit report a few days ago. What is that like a year and a half? So they are telling me I owe approx. $1300 plus approx. $700 in fines. That is for 3 trucks and 2 years. That is only IFTA, they said they haven't done the IRP yet. So hopefully they won't be sending me another bill of wasteful spending! They took that long to figure out my audit,but are allowing me less than 30 days to dispute with proof! Unfortunately I do not have their specialty software to make my job easier.

    If you were using DOT logs for your mileage documentation, there is a good chance that a 100% base plate fee will be billed for IRP. DOT logs do not usually contain all necessary information required by IRP and will result in an inadequate determination. IRP audits have much higher record keeping requirements and stiffer penalties than IFTA. It depends on how lenient the base jurisdiction is. I hope that you have a very high base jurisdiction %. To figure out what a 100% fee will be take the amount of the base jurisdiction's plate fee from the bill and divide it by the base mileage % then multiply it by 100 then subtract out the plate fee already paid.

    Example: Bases Jurisdicition % was 75% of miles, paid $1,125 to base jurisdiction -- 1,125 divided by 75% = 1,500 - 1,125 = $375 owed + interest + penalty = assessment total
    Example: Bases Jurisdicition % was 25% of miles, paid $375 to base jurisdiction -- 1,125 divided by 25% = 1,500 - 375 = $1,125 owed + interest + penalty = assessment total

    I agree that a year and half is WAY too long for an audit of this size. IFTA and IRP require 30 day notice before the audit, so there is a month, 1-2 months for the audit if you drop off the records, 1-2 months for the review and billing process so 6 months would be more like a good time line.

    FormerINAuditor, please read my response to the other thread and let me know if you know of any attorneys that understand both IFTA and aggregate hauling.
