Has a broker ever asked you guys to submit copies of permits with invoice?
If the rate is all inclusive I dont see why he would want a copy , if he wants to reimburse for them then I would see why he would want them

Yes I have a couple of times but I don't think I ever has them ask on an "all in" load. Once the load was "plus permits" and the other time it was a detention issue....we agreed that the broker would pay the cost of the new permits.
I imagine they are either:
1) making sure that you were compliant when you were pulling the load. In the contract and/or rate agreement there is probably a clause that binds you to moving the load in accordance with all laws etc etc.
2) Trying to find the cheapest possible source of permits so they can lower the cost of moving that load in the future

If it is an all inc price, I would not send them unless you are required by the rate confirmation or your contract.

I moved a load for Bennett one time the agent said he would pay for permits, first thing I thinking was why sould I waste my time calling the states so I called a permit agent. After doing the load I sent the invoice with permits weeks later I get a check for $75.00 short when I called about it they said we don't cover the cost of getting the permit just the permits...............Ill never let that happen again

I prefer to quote an all in price if hauling oversize for brokers. It costs me money to obtain the permits and I want to build that into the rate. I don't accept face value reimbursement.

Let me guess how this will go.
Broker: I want your permits.
Trucker Ric: Screw you the rate was all in.
Broker: Part of the contract you signed with the broker, heretoafter referred to as "us" stipulated that you remain compliant with all laws during the movement of our freight. "Us" is only exercising our right....no our responsibility.... to ensure that you complied with the terms of the contract. Should you choose not to give "us" the permits, we cannot verify that move was legal and therefore we cannot pay you.
Trucker Ric: I will file on your bond.
Broker: You can try, but I can tell you that if you file on our bond you will never move another "us" load again.
Trucker Ric: Mr Insurance man, the broker won't pay me because I won't give them the permits.
Ins Man: Why wou't you give them the permits do you have something to hide? This is not a reason for me to payout. Besides this broker pays me alot of money every year why would I bite the hand that feeds me?
Trucker Ric: OK Mr. Broker, I will give you permits, but my fee for providing the permits is $1.75 to cover the cost of that B.S. insurance that you screw me out of.
Broker: OK we will pay you $1.75 but you are now a non approved carrier thank you buh bye.
Pick your battles Trucker Ric. Annoying yes, but nothing to be gained here. Move along. Your time is worth more than this.
EDIT: Fax them the permits but if it makes you feel better, redact like 90% of it with a great big black marker. Same one you do your log book with. That would be funny.Last edited: Feb 10, 2014

Ahh, Bennett. They did the same to me. They were reimbursing for permits and pilots. Luckily it was a piloted move and I used my own pilot car company (different company name)....I got my permit service money back by charging more for the pilot.
