We operate an event planning conpany that put on events across the Midwest and East Coast. This spring, we have 6 events in different locations over the course of 6 weekends. They are as far NE as Portland, ME and as far West as Grand Rapids, MI. We are based out of Chicago.
So our issue is we need someone based near Chicago that would essentially be our logistics coordinator and driver. Each week they would load in boxes that we need for the event that weekend from the storage space near Chi. They would then tow our 24 ft. trailer to the event location to arrive by Wednesday morning. Once the event is over on Saturday afternoon, they would tow the trailer back to Chi and then repeat the following week.
Are there services or individuals out there that could do that?
Another added duty would be to help setting up for the event and even coordinating event day parking that Saturday morning.
If anyone has any advice it would truly be appreciated. I have this idea in my head but have no idea if this is even possible. Thanks in advance!

I am leased to a power only company. We move show and event trailers on schedules just like you describe. Usually they are semi trailers, but a portion of our fleet is equipped to move bumper pull-electric brake trailers, and 5th wheel cargo trailers.
We do not, nor do other companies in the power only business load or unload the trailers, that is taken care of by the production company. Our drivers will wait while the trailer is being loaded or unloaded at extra charge, or layover at the location for the event and take the show back to the origin or to the next venue.
Event companies like this usually leave the trailer loaded and send it directly to the next venue, instead of back to HQ to load and unload it. Secure storage can be arranged usually through the event coordinator.

Yea i need cheap labor too i will haul you loads , just send my payments of the truck to the bank ,electric company,mortgage bank,cable company,insurance company,phone company,ex wife ,my 401k ,and my savings account,my grocery store ,the bar i visit,my mother nursing home, my dogs vet hospital,my maintance garage,,my tire repair shop ,peterbilt for my next truck,that should be just short of $17255.49 A MONTH and you of cource have a fuel card for me to use,and free food 3 meals a day 7 days a week ,snacks,medicine,as soo as all that is paid i will haul your first trailer either with my pickup ,oh yea forgot pickuo and suv payments so add another $1200 to make it $18255.49 a month or my peterbilt with dpf ,but lets amke a deal are you ready to sigh off on this deal please send to my lawyer to look over and make payments and we are ready to roll

Any trucking company or brokerage firm could handle this. Just pick up your phone and started calling. Tho I get the impression that you will faint at any reasonable rate quoted.

We are also an event production company that travels the US for all levels of events in everything from cargo vans to 53' semi trucks. There are several ways to go about this:
First, are we talking a 24' semi trailer or 24' cargo trailer with a Pickup? Big difference.
There are companies like Stagecall and Roadshow that specialize in entertainment trucking, but those are major bucks.
If you have a commercial trailer that needs a semi truck, there are "power only" companies to move your trailer.
If you want a driver and a stagehand...ain't gonna happen unless they are your own employee...and even at that, there are strict hours of service rules that govern how long a driver can work (on duty) then drive. The individual would not be able to work a show, load out, then be legal to drive until they have a 10 hour break to be legal to drive.
If you have a cargo trailer and depending on trailer weight, cheapest way to accomplish this is to rent a one ton pickup from Enterprise Commercial (they are the only ones that rent pickups with tow packages) and hire your own driver. Any class C driver can pull that combo as long as the truck and trailer do not exceed 26,000lbs. Once you cross 10,000lbs however you need to know about log books, hours of service and commercial regulations. Over 26K lbs you need a commercially licensed driver (Class A or B depending on rig).
Any way you go you will want a company or individual that has experience with entertainment driving. We work in a whole different world than freight drivers and you need someone that understands the difference and consequences between the show MUST go on mentality and a load of lettuce showing up late to a DC...but that will cost you more money for that experience.
What ever you do DO NOT ever use a broker service for entertainment logistics. You want to deal first hand with the driver or company.

Do you have a budget established for these events? It would would probably be helpful to do this before you start talking to people.
There are plenty of companies in northern Indiana that deliver RV's that can pull that size trailer. I don't know if they would be interested in providing the extra labor/service on each end. Only way to find out is to contact a few of them.
