I have a database of over 300 contacts. I keep a record of both good and bad brokers and shippers. I use software that has a section for brokers where I can put notes or comments. I will make notes for both pro and con so that I can make a decision as to whether I will take a load from a particular company or agent or not. I have minimized the number of companies with whom I do business. I pretty much have a small group of companies that usually have fair rates and pay in a timely manner.

I make notes and add names as I go along. I try to make notes while everything is fresh in my mind.

I still use Trucknpro. It is a trucking specific software package. It has a section to list brokers & shippers. You can put in basic information and there is a part where you can put in notes about the contact. It will also do your bookkeeping for you and give you your cost per mile immediately upon putting the information into the program. The only thing it won't do is your IFTA calculations. It will give you a printout of your miles per state so that you can either do your calculations yourself or on line, providing your state allows you to file online.
You can also do it in either a database or spreadsheet. I like way trucknpro has the information organized. The program isn't very expensive. There are others on the market that I have tried. I prefer Trucknpro due to it's simplicity. I have several friends who run their own authority or lease to a carrier who use the program.
