TECHNICALLY, according to the rules, yes, you have to have written authorization in the truck with you. Again, technically, and I dont remember the exact language but you have to have a written authorization for every day the rider will be with you.
The companies I have ever worked for just put the dates on one form.
Realistically, when I was an O/O i never had an authorization for my wife. She was with me every day for 2 years. We had many inspections & I was never asked for it, it never came up & it was never an issue.
You are the company CEO or whatever, no law enforcement officer is going to give you grief about it. However, there is always that ONE that will.

There was a thread on this and an insurance agent posted a company thats sells rider/passenger policies. I looked into it a few months ago. Think it was $500 for the year. I had a screenshot of it but I must have erased it.
I wouldn’t worry about an inspection, I’d worry about if you are in an accident with a passenger. Thats when it actually matters.feldsforever, Grumppy and Batman13 Thank this. -
