Some pilots have the machine behind the counter, so the cashier's gotta scan it for you like Dick said, but some truck stops have the machine in the store itself, usually near the entrance, so you gotta scan it yourself in some places.

I'm new to this TransFlo thing but it's pretty easy to figure out if you know a little bit about computers and some trial and error to figure out which way to scan the documents in.
Every Pilot, FlyingJ and TA I've been to this month have had the self-serve TransFlo kiosk. Get all your paperwork in order (again, staples removed). Position it on the scanner and then either use the mouse or in some cases the touch screen to start scanning.
When all the documents are scanned you should see what they look like on the computer screen and can use the page up and page down buttons to look at each page scanned. If you only see blank pages then you had the documents in the wrong way.
Some times the scanner can jam easily or not feed correctly and you have to feed each sheet in individually. Other times it will scan almost every page but miss one or two. In that case you can hit F8 to add more pages.
Follow the on-screen prompts about using page up and page down to look through each scanned page when they're all scanned in. Then look on the screen and press the button that corresponds to "Send" (this is very important). The program will probably have you review each page again just to make sure. (page down through all the documents) Then once you do that either push the button or click the icon on the screen to send. (again this is very important). Then either a receipt or two confirmation stickers will print out verifying the information was sent. Keep these with your documents.
A little long-winded but I hope that helped. Again I was brand new to TransFlo so I'm just relating my experience while I was figuring it out. If you're having problems either ask the help behind the counter or maybe a nice trucker waiting to use it can help you. -
I am amazed at some of the things I read on this forum....what did your mentor say about scanning trip sheets?

How did your mentor do it? Was he/she a dedicated mentor who had the kiosk at the terminal they ran out of?
Next time you get to any terminal grab a pack of those scan sheets along with blank logs. After you empty every trip and pass by a Pilot,Loves, or Flying J just run in and scan them during your travels. Make sure you're on line 4 when you do it though. Typically you can flag a tire check and park in the fuel aisle while you run in to go to the bathroom and on your way out the door, scan your trips.
Once you have 20 confirmed scans in the system you will be automatically paid for each trip as you empty out-- as long as you continue to scan the trips in a timely manner. When I make a pickup I take the scan sheet and fill out all the pertinent information and paperclip it to the BOL and keep it together. Later when the BOL is signed paperclip it together again and it is ready for scanning at the next truckstop. I think you have 5 days from empty call to get them scanned in before a 'missing trip' message gets sent to you qualcomm. -
Make sure your logs are in order when scanned. If not you will get a "missing log" message.
Your lazy trainer should have taught you where to scan.
It costs Swift to Transflow at the truck stops. They ask us not to.
I try to stay out of terminals.
If in Commiefornia you can use Bosselmans??

When you get enough loads done apply for the accelerated pay. Do the macro. -

my mentor was a l/o on dedicated, we just scanned at the terminal. He taught me just enough to drive his truck and make him money.

trip pak and transflo CAN BOTH be done inline if your company will allow it (our company does) so we can scan and send (transflo) and send from the cab while still sitting at the dock. for us anything scanned in by 10:00 am wed will get paid fri.
all you need is a laptop, scanner (we use a hp all-in-one) their software (free download) and internet with transflo when you send it you get a transaction receipt number and a link to transflo site so you double check it if you wish.scottied67 Thanks this.
