HI. As a right now I use a very long procedure to do IFTA. Let me say a few words how do I do it so you can give me a good advice. I put all the stops (routes) of my vehicles in a PC miler (very old version) then I print detailed report along with an every state mileage vehicle goes. Then I do a very long routine work. I manually transfer mileages from a printed copy of all routes to an excel document that contain total mileage and total gal of every vehicle. The problem is that it takes a while to transfer manually to an excel file a mileage per state (it can 10 states per route) of every trip and every vehicle (I have 10).
Any advice is helpful. Thanks truckers

We have two trucks and have an excel sheet for each with a list of states. Drivers have trip sheets and we transfer milage and fuel gallons to excel after each trip. Excel adds up each row and totals each states milage and gallons purchased in each state. We manually transfer the numbers to the on line state form. It takes about 20 min to do the quarterly and a couple min to do each trip when they get turned in.

The last small company I ran OTR for had me send in my odometer reading at each border. Not sure how they calculated it all, but we just added a sheet with our odometer reading at each state border along with our bols on each trip. Drivers all complained at 1st, but after a few weeks it just became habit.

Me, (as well as thousands of other owner-ops) Still do IFTA the old,old fashioned way..
I dont use any apps or anything, Starting mileage/ending mileage for the week, Estimate miles(by state on my ruin,

(Knowing most mileages already by heart) Anything over or short gets put in/subtracted froim totals

For Instance If Im going from Chicago to Albany,NY.. i already Know the mileage in Indiana,Ohio,Penna and I figure NY's with the Non-Thruway miles for HUT.

Is their a faster way? Im sure their is...But i dont have any patience left to learn new stuff.

I really don't care about the ifta, I wanted the info so when I buy my own plates I can report the miles driven in each state.

My old fashioned little green book has never let me down. Every fuel stop, destination, state line crossing, ect. gets entered. Then once a quarter it gets transferred over to trip sheets for ifta, Irp, and log books are double checked.

That's the way it used to be done...before all of the electronic stuff found its way into the trucks and dispatch software. It is also the best way to ensure accurate reporting of miles run in each state, since that computer mapping software isn't factoring in the miles you might spend out-of-route seeking fuel, parking, food, etc. along the way. The fact that guys are actually crying about having to do it the old fashioned way shows how spoiled today's drivers have become. Personally, as someone who resides in a "high fuel tax" state, the more accurate my numbers are to what I actually did, the better off I am because if the mileages are map-based or gps-based, and "extra" miles that aren't accounted for are supposed to be listed in your home state.

ExOTR, Mudguppy and brian991219 Thank this.
