Excel is the most versatile software for this staff. Also for a small business accounting. You can do IFTA reports, Truck maintenance records and schedule, trip logs, accounts receivable...everything. Very straightforward, intuitive and inexpensive. You don't need to have any programming skills to use it, just press preprogrammed buttons. Plenty of YouTube tutorials and once you get a hand of it you don't need any other software for book keeping. Of course you need to develop habits of making backups and such, but I guess any other software requires that too. I encourage everybody to play with Excel and eventually build they own system to harness all numbers and show all possible reports.
Anyone have a good program or spreadsheet for ifta/irp miles?

I've had several companies call me, wanting to file IFTA and IRP for me for a "small" fee. I know some O/O use these services but I don't really understand why. 99% of the work is keeping and compiling all the info, which you still have to do with a with a paperwork company. All they are doing is filling out the forms, after you give them the compiled info, which is really the easy part.

Well in Illinois state Ifta website calculate ifta for you, just need to enter miles and gallons per state. But thats for the entire company. Now i need to brake down price per each truck and have no clue how to calculate it, endless i get a spreadsheet

I bought a GPS that records all mileage and when you get fuel, you punch in all your info on the IFTA app. provided. At the end of each quarter, you pull the GPS and plug it into your computer, and it prints your whole IFTA report for you. Its quick and easy. My buddy's wife created a spread sheet, all you do is punch your numbers in and it automatically calculates everything for you. All in all it takes me about 1/2 hr. / 45 mins. to do my taxes. The GPS was a great investment.

Ive got all the miles for the trucks just dont have a spreadsheet. Do you have and can you share that spreadsheet ?

I will check with her. When she sends it, she gives my a password to unlock it in order to edit the sheet with my info. I'm not totally sure how that all works. I will have to get back to you.

I'm an member at OOIDA and I know they offer filing IFTA for you. I haven't used them yet but it's on my mind. You still have to track fuel and milage but you can get that off your GPS download and send off sheet. My Truckers Garmin allows that tracking. Just a thought, I also have a program I use to log all my trips expenses, fuel milage etc. it's great for watching your bottom line too. check it out at: fog line software.com......great for owner operator's but like drivers they all have different ways to get there.
