what documents are needed when a carrier and a broker agree on a load? i understand the broker will email or fax a rate confirmation sheet to the carrier but what documents does the carrier need to carry with them? what documents do i need to be carrying with me in the truck since i will be using ITS for loads. i have a printer set up for scanning and printing. laptop and smart phone for internet and email. most of our loads are direct carrier. but we need to start finding return loads.

You will need a copy of your authority, insurance and W9. Most will usually require that the insurance certificate be sent directly from the insurance company with the broker being the certificate holder.

thanks for the answer g/man. a copy of the authority and a w-9 is easy. when you say insurance is that a copy of the truck insurance or just of the cargo insurance? i carry a insurance card but not a copy of the actual policy declarations

Most will want your agent to fax them the insurance info, called a certificate of insurance.Not quite the same as a declarations page. Most brokers / shippers will want to be listed as 'CERTIFICATE HOLDER' , meaning they will be notified of any changes in the policy. Your agent should know about this, or how to have the insurance company do it.

You should have an insurance certificate in your permit book that lists your coverage and expiration date of your policy. It lists all the coverage that is on your policy, which includes cargo and liability. I keep a 3 ring binder in my trucks where I have a copy of all permits. I can order certificates myself online through my insurance agent. It has helped a few times when I have needed one filed over the weekend or after hours. It comes direct from their computer, but I put in all the information. I can either have it faxed, emailed or both. More and more truck insurance companies are doing this for clients.bbigcnote Thanks this. -
Keep a PDF file with the W-9 filled out, Authority, and a sample COI or Certificate of Insurance. As G/man said most insurance agencies have a system now that you can log into, enter the information for " certificate holder " and hit enter, the system will then send that pretty much immediately to what ever fax number or email address you entered. Many brokers will say they will just call your insurance agency but it just gets the ball rolling so much quicker by taking the three minutes to do it yourself.

Marlin, that's the way my insurance is set up. Can go online and usually get a COI in just a few minutes. And then the rest are PDF files on my computer.
