There must be boatloads of free apps out there to keep track of those things. Or.....find an accountant/bookkeeper familiar with the trucking industry to take care of these things for you. To run a successful business, there is ALL KINDS of financial stuff to keep in order. IFTA IRP is just one of many things you need to keep track of.

If you are using a GPS or the right ELD, it should be assisting you with tracking miles for this purpose. The 6 yr old Garmin I use, from time to time, until we went on ELD, my boss would ask me to confirm some miles for my truck for a certain quarter, with our ELD she's able to download that information at any time.

The OP is doing this the wrong way. I have had some of my individual owner operators face an IRP audit in NJ and they didn't have backup and they were fined a set amount after saying 'look, I run in NJ except for the 4 or 5 miles into NY's marine terminal in Staten Island a few times a month. I verify my settlement and deposit the check and toss the statement. I have no records other than fuel invoices."
Records help get you started on a regular cycle of taking care of IFTA and IRP and they should leave you alone. When I started at my curent company IFTA was a mess and the NY HUT was a cycle behind [stickers renew every three years] and fixing up the IFTA tipped off NY to our NY mileage so they sent a bill...
A bill for 100% of the miles at 80,000# rate and I had to file the missing quarters showing a lot of our box trucks instead of the larger units and dropped the invoice by 75% and paid it just in time to get the next cycle's HUT stickers.
I still do not know how thye got away with expired stickers that long.
Now that IFTA and IRP and HUT are on line, I have quarter after quarter, year after year with no inquiries...It has gotten easier! -
I run paper logs. Thank you all that replied with actual experience and numbers. Did I ask anyone how and what I need to do business wise? I asked maximum penalty for ifta irp audit to see if I should waste my time getting everything for them or just pay them since the time I can spend trucking can be more than wasting time gathering everything for them. I’d rather be trucking than dealing with them if I can just pay them off
