I'm currently in the process of buying my own truck and having my own authority. I'm aware that as an O/O, one of your responsibilities is to log the miles driven through each state individually. I wanted advice as to how some of you O/O's out there do this currently. Do you use a computer? Have a trip counter of some kind?
Also I know you have to report miles for each state at the end of the year. How do you go about doing this?
I will be applying to OOIDA and wanted to know if they offer services for these kinds of record keeping and record submission. Thanks for the advice!!

Not only each year, but you will need to know this for IFTA quarterly as well.
-
You're correct. I completely forgot about quarterly as well. Will IFTA be reported to your home state only?
-
You file with the home state. They distribute from there.
-
You file the form in your home state with all the miles for each state on it. They should have the forms you will need for that, and many states now have an online filing option for the IFTA.
-
Very good, thank you for that!
Also, how would you go about logging your miles through each state? Is this something you log while preplanning your route? -
Tape recorder of the odometer on the state border.
Keep a running log in excel and update each day. -
this is what i do- Example
Lets say im in NC going to NJ, i would write a list like below \/
Start: Insert Miles at start of load (where you last MT'ed out)
Load: Insert Miles at the shipper
VA: Write down the miles as you cross each state line
WV:
MD:
DE:
PA:
NJ:
End: Write down the miles at the receiver
then all you do once your done with the trip is subtract and you have your miles for each state, and for the whole load.....as well as MT and Loaded miles.....Ta'da

Ok, good advice.
And one last question concerning fueling. Is it a good idea to keep all receipts after purchasing fuel? And for how long should they be kept? -
Minimum of 3 years.
Best to scan them and keep electronically.Lilbit Thanks this.
