My driver today needed fuel and did not have a corporate credit card, so he used his own and gave me what I thought was a receipt for $300. I gave him $300 cash.
Later, after some thinking I realized that 1) this is a preauthorization, not the receipt and 2) his tank is 100 gallon, can only be filled to 95% capacity, and had some fuel in it already and 3) fuel near Chicago is under $3 per gallon. So how it can be actually $300?
I asked him about it and he claims that he did not take a receipt, used up all preauthorization money and it was more than 100 gallons. I cannot see how it could make sense, so I want to go to that truck stop tomorrow to get the actual receipt.
My question is, if I have the preauthorization on hand, and ask the truck stop for a copy of the actual fuel receipt, will they be able to get one for me? What if they gave the driver a copy already (which he claims not to have), will they be able to print a second copy?
Can I get a copy of a fuel receipt from the truck stop?

Should be a pre authorization number that will connect with the final bill. But it sounds like you need to get another driver. I can't stand someone that would steal from me. I worked for a guy that if for some reason I had to pay cash for fuel, like if the card system was down, if I didn't bring a fuel receipt he said would deduct it from my check.

Just have him give you a printout of his statement. Either on line or when it come in the mail.

Guys, I understand and share your sentiments.
But I want to have solid proof, and that's why I wanted to get to that truck stop and get a receipt. Accusing people of stealing money is toxic and I would prefer to have all the evidence. So, anyone knows if I can get a duplicate?Opendeckin, Lumper Humper, Bean Jr. and 2 others Thank this. -
Look at it as interest on a loan and a learning experience. With stuff like com checks and money transfers and such there is never a time an employee should be paying a business expense. The fact he was kind enough to loan you the money and take the risk of never getting it back he deserves a bit more than the purchase price of the fuel.
Next time learn how to pay your own bills and don't make your employee pay your operating expenses. -
Call and ask for the manager and tell him you have a receipt without the gallons and see what they can do.

They can pull it up easily if you have the preauthorization slip. Prob also has a time stamp on it, and a pump number.
