Can I get a copy of a fuel receipt from the truck stop?

    That's why I was questioning your "math". It's one thing to have exact figures and make calculations. It's another thing to make lots of assumptions and guess at an amount- which is what you and others in this thread were doing.

    Next time, give the driver the benefit of the doubt [at least about the stealing part].

    Now, why he's almost running out of gas and having to pay for fuel himself despite your "policy"- that's another issue. You should look into changing the policy to something more efficient and easier to manage for yourself and the drivers.

    Right.

    But, ask yourself, was there no basis whatsoever to at least question the situation? There was no final receipt and an unusually large amount. Instead of accusing him, I decided to find out for sure, which prevented a nasty accusation from being made and established the truth.

    There is no difference. Say you are an interstate carrier with your IFTA license. For an entire month you are shuttling loads in Illinios, for example. All of your miles on your IFTA for that month will be for Illinois miles and with the fuel taxes you paid at the pump, your IFTA will balance out to a 0 balance for that month. The Intrastate hauler that was buying fuel and running in Illinois will pay the same for fuel as you. His fuel taxes, collected at the pump will be the same as yours collected at the pump. The only difference is that you have to do an IFTA filing and he does not.

    I believe the 100 gal is the 95% capacity. So in theory a 100 gal tank will take 105 gal. And it will take more volume or gal to fill the tank in the winter time vs summer. There is way more to it than simple math.

    I'm sick of dispatchers/owners sitting in their offices behind a desk or computer screen telling drivers in the thick of things what's what. There's a lot of Monday morning quarterbacking by people who aren't behind the wheel and it's nonsense. Trust the driver. If you don't, get another one. If you can't, don't come to a forum packed with drivers to complain that your "math" doesn't add up, implying that the driver has stolen from the company. And what a surprise- there are actually other drivers that sympathize with the suspicious owner. I'd hate to drive in the same company as those snakes.

    It seems like none of you guys have heard the saying “trust but verify”.

    Last year I spent $1220.08 on reimbursed expenses. Mostly parts to make minor repairs, tolls, and truck wash expenses. If I didn’t turn in an actual receipt for any of those purchases, I would not have been reimbursed. Period.

    As an 250 truck otr carrier we are set up to be able to pull cash advances off our fuel cards to pay for these things. We can even get specific amounts put on the card for larger purchases, but most of the time, for me, this is not worth the hassle.

    In 8 years of driving over the road I never once filled out a efs check or t check. Wouldn’t even know where to get them.

    @ichudov doesn’t run a trucking company, from what I can gather he runs more of a local machinery mover/rigging company. It’s no surprise his drivers don’t carry a fuel card. I started out working for a local stone delivery company. The boss had a fuel card that we would borrow to get fuel down the street. Running local with twin 100 gallon tanks, we fueled maybe once a week.

    Do you own a company that has trucks? If not your arm chair quarterbacking as on owner when you’re a driver. Pot meet kettle.

    Do I need to own trucks in order to know that suspecting a person for stealing based on assumptions and "fuzzy math" is wrong and it happens all the time in the industry because it has happened to me plenty?

    Like I said- I would hate to drive in the same company as some of the snakes in this thread. You'd be the first ones in the office egging on the suspicious owner/dispatcher, hanging a fellow driver out to dry over your own misplaced sense of "right & wrong".
