Payroll info

    So Im a little confused still. I just signed up for quickbooks one month trial and quickbooks payroll. I was speaking with an rep and they said payroll can only calculate taxes if the employee works in the state 80% or more of the time. Here is the situation, the company is based in X state, but I live in state Y. I type in how many miles I drove by my rate, and payroll needs to calculate taxes taken out. Now, would that be taxes for both states x AND y?

    Is there a payroll specific to trucking? I literally just want to type in how much I owe myself, and the payroll company to calculate the necessary taxes, take them out my pay, and direct deposit what is owed to me.

    What do you guys use, and/or am I misunderstanding quickbooks payroll?

    Pretty sure your tax rate applies to the state you live in.

    I thought so too. But quickbooks rep said I'd have to be in state I live in and work there 80% or more time for payroll to be able to calculate taxes

    Me Going back to the whole tax issue, the tax rate applies to the state I live in. [FONT=Verdana, Arial, Helvetica, sans-serif]Can't I just put that I am in this state and the taxes to be calculated

    Rep Unfortunately not. Since you do roam around then it could cause penalties with the IRS.

    Withold the tax for the state the employee lives in. You have to set-up with that state for deposits and some of them can be a little weird about UMC and comp.

    Obvious he he lacks a little because the IRS has nothing to do with state taxes.

    BHW is correct. State withholding is based on your home address. I can't remember the gov-speak term for it. Domicile?

    My company is based in Georgia and I hired a driver who lived in Missouri. I had to open an MO tax account and make withholding deposits there for his payroll. I called both states' departments of revenue and they both agreed that was what I should do.

    An interesting side note was that, since he was the only MO employee I had, both states advised I make his UI payments to Georgia (where the rest of us employees live). I had to notify him that if he decided to make a claim, he would simply have to file in Georgia.

    His employment spanned two tax years. There were never any issues at all with the tax agencies. However, my payroll service wasn't set up to easily handle the WH to one state and UI to another. After two quarters of messed up tax deposits that had to be fixed, they came up with a work-around that solved the problem.

    If you're still not satisfied, call those departments of revenue and ask. Or ask a CPA. I think the Intuit rep is probably better equipped to reset your password than give out tax advice.

    Red, yeah, that's the word. Domicile! LOL Gotta think like a suit when reading this stuff.

    OP if you are in question, you might want to contact a CPA, but any employment taxes should be based off of the state of the employee's domicile.

    That's what I kept saying, but she thought otherwise. She said it wouldn't be compatible with my business. Thought that was odd as it is their job to get people to pay for the service. Ended up cancelling the free trial 2 days in.
    Does anyone actually use Quickbooks Payroll ? What is your experience?

    If I understand your post correctly, you want software to calculate driver pay and then have a means to calculate the deductions? I have been using Trucknpro Biz Manager. It will do the driver pay for you but doesn't do the tax calculations. You could use a spreadsheet to calculate your tax deductions and then transfer those deductions into the software for the net pay. The software will print out reports for the deductions and pay. Once you put in the tax table into the spreadsheet, all you would need to do is key in your gross pay and the spreadsheet will do the rest. I used a spreadsheet for driver payroll for years. The best part is that you don't have to pay a fee every month. With the software, you will have all you need to do your books and stay compliant with the dot. If you don't need the software, you could still use a spreadsheet. It doesn't take long to set up the tables for your deductions and will save a lot of time dolng those pesky deductions each week or however often you decide to pay yourself. If you need the software it will calculate the pay based upon mileage, hourly or percentage. Personally, I would not pay a monthly fee to use software. I would prefer paying a flat fee to actually buy the software. Hopefully, Trucknpro will eventually have some sort of integrated payroll program that will work with their software. If you want to spend a little more money and have the payroll feature, The Truckers Helper also makes trucking software with payroll. I think they have also gone to a monthly fee and some people think it is a little more complicated to use. You can also just use a spreadsheet to keep your books.

    I use quickbooks online with payroll. My company and my home address are one in the same so I do not have that issue. The payroll side works well, you just have to make sure the rates are correct. The quickbooks side really lacks for a trucking company.
