This morning, an agent at EPES Logistics called on my posted truck and offered me a load. We negotiated a rate which she accepted, and told me that the load was mine, but that her system wouldn't let her send a rate confirmation until we sent updated insurance information. I sent the information within 15 minutes, and left a message on her voice mail to that effect.
She returns my call 30 minutes later and told me that someone else in the office gave the load to another carrier while they were waiting for the insurance information.
Should we just chalk this up to simple lack of professionalism on their part, or can and should we seek TONU compensation? Opinions?
edit - We have done business with EPES in the past, and never had a problem with a missed appointment or late delivery, so we have a good track record with them. This behavior really surprised me, to be honest.

my guess is it was either a load that had to move, or the load sat in the system as open and another person dispatched the thing. if it becomes a repetitive problem, it might be worth complaining. i would let them know that you were not happy and your reporting it to your company.

They typically will not pay a TONU unless you were officially "dispatched" which unfortunately you couldn't be b/c of them not having updated insurance. Have only booked two loads with them in the past but that is my overall general experience.

Epes has been good to us. Wouldn't push this based on those details. Would however keep the person you are working with in the back of your mind.

Yeah I'd chalk this one up as an isolated incident but as said above, make note of WHO you talked to there....even on company side every rare once in while something will slip through the cracks but it gets addressed quickly and doesnt happen again for awhile. Happens occasionally on company side if we don't commit to a preplan because we're running hard and don't stop for awhile to get it done it might get cancelled and given to someone else....lost a couple of good runs that way. As said above since you weren't actually dispatched on it yet it was probably still showing open and had to move. They run a tight ship on both sides of the building......I wouldn't worry about it and if it happens again make note of who it was and voice your concerns up the chain. It will be addressed.

My guess is that after you negotiated the rate, another carrier came along and took it at what was offered. Sometimes happend and it works both ways, no truck or load is truly covered until there is a signed confirmation IMO.

I doubt that is what transpired. That seems something the non-asset based brokerages would pull as a matter of routine...Usually these small and midsized carriers are more interested in getting their freight covered than anything else.. If her computer wouldn;t let her send out a confirm until her system showed windsmith's carrier as having valid insurance, you know, that kind of thing can happen... I'd take her at her word on that, ONCE... lol
