Just joined this site but not new to the transport world. I am taking a major shift from Ops Mgr to Freelance writer. Time for a change after 15 years.
My question is for the OO's. How do you handle your paperwork? Do you have someone manage it for you? Do you hire a specialized company to take care of it? How about a shoebox that you take to the accountant once a year? I am interested in hearing your stories and suggestions, ideas for handling the paperwork created with driving for a living.
I am researching this for an upcoming article in a trucking mag. You input is appreciated.

I created my own excel spreadsheets to track all my expenses individually. Much easier to make adjustments if you know exactly where you're spending or wasting money. However, I do consult with my cpa to be sure I am not giving more than I need to uncle sam also.

I scan all my papers in the truck. I have an HP 1056 scanner/printer/copier in the truck and a Brother DCP7060D laser scanner/printer/copier
I have all my rate cons in the computer, another sheet for tracking my loads by month, another for load miles for compiling my IFTA report.
Quicken Home & Business is used to track all the money. I put ALL of my loads into an Invoice and submit that weekly with all my original BOL's to the carrier so that I can be paid. That way they see what I am doing and I tell them what I am expecting. I haven't had to talk to anyone about a settlement since I started doing this last November.
As soon as I get my signed BOL from the consignee, I can scan the POD and get it sent into the office. If I am not going to be home with the original BOL for 2 or more weeks, those emailed BOL can then be used to invoice the customer that much sooner than if I held onto my BOL. Often, the company is paid with a check or ACH well before I am even back to the shop.
I can scan all of my vendor and my customer invoices into the computer and attach them directly to the bill or invoice I have for the truck in Quicken H&B.
At the end of the year, I can print out a balance sheet, Statement of cash flow and a Profit and Loss statement. These are submitted to my CPA who does my taxes for last year and then gives me four quarterly 1040ES tax vouchers for next year.
Since I have the scanner, I can also scan in my Logbook sheets as well and I am always current on that. You have 13 days to submit originals or scanned original copies to the company. Keeps both of us in compliance that much faster.truckon and NavigatorWife Thank this. -

Thanks for the input. Do you guys keep a folder for everything to keep it organized? I read another forum here that talked about how bad it looks to keep ppwk on the dash. I have to agree but I am no Mr. Clean either.

Every week in the truck, I have a expanding folder I use to keep track of all my papers.

I put all my rate cons, BOL, logs, fuel receipts ETC in those until I can put it all into the computer. After it goes into the computer, it goes into the separate pocket in the back.
Once I get home, it goes into the filing cabinet and is emptied out. Depending on where it's put, tells me what I need to do with it.
I start each trip out with an empty folder. -
