I generally write the big stuff on the passes. Sucks writing it twice. Never thought of taking a photo of the pass though, good idea. Have only had one dealer really push about damages on a cheap crap Toyota that an employee had purchased through them for personal use. They got a deal on it because it had high miles & was beat to death. Though they expected a shiny brand new car delivered. Had to wait for them to call Manheim in Grove City, but they pulled the gate pass & faxed it over. In the end, no problems aside from the delay & they stare at you like you are trash that tore up their car. My blood was boiling tho & had been thinking of ways to turn that car into a coffee can scrap if it went much further.
Just the other day though did have to take photos of a smart auction car that the rear bumper looked like transport damage. Dealer refused to sign as they do not own the cars. But made sure the dealership sign was visible in the background & zeroed the camera in on the bumper from there.

I had no idea of the Manheim policy against taking photos. I guess we should not be surprised, though; "Blame The Driver" is everyone's favorite game in the trucking industry and those pics take that option completely off the table. I'll keep snapping away with my camera anyhow; they can kiss my ### if they don't think I should have the right to cover my rear end.

The policy is mainly for dealers and is outdated at best since Manheim themselves put pictures on the website. They used to prohibit photos to prevent the small dealers from doing retail sales at the auction, meaning buying a specific vehicle for a cash customer. There are signs at every Manheim and the security is supposed to escort you off property if they catch you taking photos, yet the RAT app requires you to take a photo at pickup and/or delivery to document damage which is in direct contradiction to their parent companies policy, go figure.

I started using a phone app for condition reports and Bol's. It is almost like Readys app but for your company use only. I still write all damages on the gate pass don't care how minor it is.

whenever you take a pic - there are details in the settings when the pic been taken (exact time and date) , show this to the dealer and find out exactly when the guard scanned the vehicle out - this may save your ###

I use the super dispatch app. Geo tag pictures and digital bol and invoice all in one. On the gate pass I write see driver bol for damages and pictures. Soon as it's delivered 1 button to send bol and invoice to get paid.

Company policy has been all damage gets noted no matter how small....Only once so far (that I know of) have we had to go back to a gate pass to cover our back side..
It was on a load I swapped out with the boss man.
The number of working keys fobs gets noted as well, those little jokers are getting quite pricey to replace.KANSAS TRANSIT Thanks this.
