IFTA Reporting

    I have a single truck operation and was wondering what would be the most cost effective method of keeping track of mileage and fuel purchases by state. I don't want to get involved with expensive computer software so I'm just looking for something simple and economical.

    Well, there is the fuel gages product at www.mygauges.com. It's free, and has an IFTA report generator.

    Thanks and I'm glad you mentioned myguages. As far as I know, it keeps track of gallons by state but not mileage by state. Is there something that I'm missing?

    I have a spreadsheet that I modified off a state form. I enter in the data on one sheet for a different month of the quarter. Just the state, miles enter, miles leaving and any fuel I filled with.

    It does the rest of the work of compiling it by state and totaling it all out and putting it on the IFTA reporting sheet I need to enter it in to the states on-line filing application.

    Since I enter stuff in weekly or so, at the end of the quarter, I have to just print out the one sheet and I am done. Log into my IFTA account with the state and fill it in.

    I can track what I will get for a refund or owe at the end of the quarter as I go along. I am always within $40 and it's always been a refund at the reporting time.

    I have a couple versions of this now that you either just enter in the state and mileage or you enter in the starting mileage once and then just enter the mileage when you leave. It will transfer that to the starting mileage automatically for the next state you enter. Then it totals that state for your. You just make 3 entries; State, departing miles and fuel used.

    You could try the old fashioned way....have a tablet and a pen, write down the odometer reading as you cross the state line, same at the next state, subtract the smaller number from the bigger number, the difference is the mileage run in the state.

    Thats what i do, every time I cross state line.. Even though I have software, I still write everything down on a legal pad.

    I'm an old spreadsheet hand too. Do all of my own business accounting that way- CPAs are for tax forms.

    On the other hand, trying to do sliding fuel consumption averages with a spreadsheet was enough of a pain that the FREE user interface that KR has ginned up in fuel gauges is appreciated. If I had to pay for it, I'd be cussin' a spreadsheet. He's got a IFTA report deal attached to it that's rather basic.

    My IFTA spreadsheet tracks fuel mileage for me as well. It takes me 2 minutes to compile it into the annual sheet each quarter for the annual average. Simply cut and past the 3 months totals in the IFTA into the annaul.
