I've stayed at a hotel a few times and the office will either pay when making the reservation or it goes on the company card. Never out of my pocket.
They do give the drivers $300 in cash for the odd times the card doesn't work or it's a cash only place. As a driver you are responsible for the money. But that seems fair to me.

Wish it was that way for him, but this was on OUR nickel, and on us while he's butt sitting waiting for their truck (which was issued as GOOD to GO less than a month ago) for 4 days, putting him out of pocket for the down time as well. and oh shucks, you were late getting us the receipts for that so now we're going to give you a stroke as well.
Additional question, what do you guys do when the company doesn't seem to care that you're out of hrs?

nope, Co Driver... his drive time was up over an hr ago.. he's been sitting at receiver since 1.. where they told him, 'your appointment is at 5, we'll call you... it's qtr to 7 now... Calls to dispatch and DM are all kinda 'oh well... just call getting in a door, a yard move, and when they force you off their property, a 'personal conveyance' and that will get you around dot. And you need to be an hr away for your next pick up by 9 A.

An ELD is an Electronic Logging Device. It's the computer/phone that has replaced log books.

I got a better explanation from hubs, this wasn't our card, it was some preload affair like a walmart shopping card, that driver calls in and says, ok, I'm here at no-tell motel, and the charge is XXX.. so they put XXX on the card, which is then swiped electronically (because you've left your truck at the repair shop and were brought there by taxi).. but THEN, you have to prove you were actually AT the hotel and that electronically identified transaction, which obviously happened, has to be hoop jumped and proven by the driver by sending in the receipts, because 'y'all are crooks and are finding some way to stick it to the company, in cahoots with this hotel clerk you never saw before'...AAND, to make a long story short, he DID forget to send in the receipt... Still, I'm with several commenters here who feel that's unreasonable. I guess because it offends me to be assumed to be dirty till I prove I'm clean.
Still not sure what dumpster a driver would sleep behind out in BFE Town so that he could pocket this little dab of cash.
