Read your rate confirmation that you signed when you accepted the load. It will tell you what to send and where to send it and by when. Keep copies of everything you send.

Depends on the broker and the load, last bill I scanned and emailed had 9 pages that had to be submitted. Some are just the BOL.

Agree, I scan everything and email it also so that gives me 3 copies to access at any given time even if my laptop blows the big one I can download the old docs.

I usually ask if I can email bills and send a .pdf of my invoice, signed BOL, any other shipping documents, and the rate confirmation. However, some brokers prefer fax, some want it sent by transflo, and some still require you mail in the originals.

It's a good idea to keep broker files with instructions on how to submit for billing, contact info, notes, contract, etc....

It's a good idea to verify how they want the bills sent when you call in after delivery and send them ASAP.

Most of the time you will need to submit the signed bill of lading, rate confirmation and invoice. Some brokers or shippers may require additional documentation, such as weigh tickets, etc., You should find answers to your questions in the contract that you signed. Some also include their requirements for payment on the rate confirmation. Of course, you can always call the broker and speak with their accounts payable person.

    aiwiron Thanks this.

I would lime to suggest if you are going to be out on the road get a phone that can be used as a hot spot and a copy scanner where you can do things and not pay so much for faxes. I have a wireless fax also which saves money

    G/MAN Thanks this.

make sure you write your company name AND the BROKERS load number on the POD (BOL) as well. That would also be on every page of the BOL as well.

And when you are AT the CONSIGNEE, have whomever is signing the bills do so LEGIBLY so that the name can be read. And ask them to print if they can't sign it legibly.

aiwiron, G/MAN and rollin coal Thank this.

And if they ask why, (I fought this battle in Laredo recently), explain to them that the broker is going to ask you who signed the bills at the delivery and you can't tell them, "emmuretloungkopt...... I think"
