Ok after the last audit we have the drivers write down miles, routes then transfer to paper trip sheet along with gallons in each state , Trip numbers enter exit miles , beggining and ending.
Plus scanning all this and then sending off in a tripPak.
This is LABORIOUS!!! Triple REDUNDANT and time consuming 80's Era garbage. The DOT goes straiget to the fuel card anyway.
I know most companies get by just fine without all this hassle.
Can anyone please recommend some ifta and small fleet " <40 units" programs we can set up ? Thanks

Ok so I don't have a fleet or even a second truck but for just me I use an app called TripLog on iPhone. It was designed in the beginning for people that need to keep track of their four wheeler driving to deduct it from income tax. In settings you can turn on a switch for IFTA tracking. It then gives you a trip log for each trip and a report with mileage by state. It does not calculate the tax or file the forms. Their is an app called IFTA I think that calculates the tax and I take those numbers onto my IFTA account with my state IRS online.

I made a spreadsheet in word that calculates it but I still enter it manually from trip logs. We only travel 2-3 states each quarter so I don't have a bunch to do.
I've been through a IFTA audit. I was very nervous because even though we do keep good records, we don't do it exactly like IFTA tells you to. Ended up passing with flying colors. Only mistake they found was I overpaid them $20, I told them keep it. -

I used pc miler. Just enter every trip all at once as one big trip. Real easy for one truck. Maybe 30 min?
