I just started with a company, This company had to restart, I have been hired as administrator and dispatcher. I have the checklist for DOT files, what else would you suggest that I keep in my filing cabinet to make sure that I have everything set up for my position? Please help my lovelies.

Supervisor's drug and alcohol training to become the DER [designated employee representative] for the drug and alcohol testing program. The actual employee testing files are confidential and kept alone.
Copy of the MCS90 for your current insurance policy.
Copy of your authority
Copy of the current MCS150
Information required to obtain post accident drug and alcohol testing 24/7/365 where ever needed.
Company registration with the drug and alcohol clearing house.
Records of HOS compliance monitoring.
Maintenance records
Part 391 qualification files with the background investigations.
Drug and alcohol training materials given to new hires - keep receipt in 391 file same with the receipt for the green and white FCMSA rule book.
Current Insurance certificate.
Accident records.
This just scratches the surface, Hazardous materials adds a ton more!

I just started working with a company doing dispatching and administration duties such as billing and invoices what all can I have in my file cabinet in my office area to help organize things and is there anything that you guys know that I will need for sure that most people don’t think about? I do have all the paperwork for the DOT file for drivers of the application and paperwork for that is there anything else you guys can think of that I may need or would help me do this easier

Wis bang covered most everything. Annual updates will also be needed for Drivers files. Moving violation report. Copy of D/L record. Copy of long form physicals.
