Owner Operators - Expired Documents

    Hello,

    I am wanting to know what I should do in a situation that some of my Drivers are just not complying with sending in Renewed document's that were expired. I have a system that lets me know all documents that are expiring a month in advance for each driver. I send emails to let them know which documents are expiring so that they can renew them and send a copy over to the company that way everything is up to date on our and their end.

    But for some documents I just don't get anything and I'm pretty sure they've got them renewed(Fingers Crossed) I send them Emails constantly reminding them to please send them over... NOTHING... What should I do? Penalty, Hold their next check, anything??

    Call them, don't email, don't text them, call them, several times a week if necessary. Tell them you're going to hold their checks, or stop dispatching them because your records say they're in violation, I'm assuming these are owner ops we're talking about right?

    Bring the truck to the yard and don't let them out until you get everything you need

    I would agree to call them! And yes, they are owner operators. I just wasn't sure my boundaries with them or how far I can go in order to get the information needed. Holding a check for loads they've delivered sounds good but they might also freak out.

    Are they running under your authority? If so, let them freak out. But...

    Bring them in to inform them of the new policy. Type it up, have them sign off on it. You really shouldn’t have to do this. But some people need proding with a stick.

    I was going to do the same thing your doing with the Owner Operators leased to your authority but I feared that I would run into your situation of them not being 100% compliant or them saying "well its my truck I'll do what I want" kinda thing... Well it's my name on the side of your door and my DOT # so send me the documents or set there and starve.. your decision... so I decided not to go that route lol

    Dispatch them to yard. If that isnt possible don't dispatch them on anything. Documents and play by the rules or run under someone else's authority. You as the authority holder are required to drop the hammer on stuff like this. You are the one who will face the really big penalties if you aren't doing it the way they want you to.

    Going forward, I would make it a policy to notify them perhaps 45 or 60 days ahead, if they don't have their stuff in order then this is what will happen. That is not being mean that is part of being a business man.

    Company I'm leased to does this. They might let you slide a couple days on the monthly maintenance report, but everything else you will not be dispatched, no matter where you are.
