For starters, set yourself up with a Google Drive account. Free with a gmail account.
Create a digital folder and called it something like, Broker accounts, or whatever.
Create a pdf that includes a copy of your:
Authority Letter
Current Insurance Certificate
Insurance contact information
A signed W-9
Whenever you call a broker and you agree on a rate, they're going to want at least those basic documents to start. Attach it to an email and send it to them.
If they want to be named/added to the policy as a certificate holder, you'll need to get their information and contact your insurance rep. They'll do it for you and email a copy to the broker and you.
I suggest you download an app like Camscanner and Adobe Fill & Sign. You're going to need some way of signing and dating contracts, etc.basedinMN_, Midwest Trucker, blairandgretchen and 6 others Thank this. -

A lot of brokerages use RMIS or DAT for providing information online with them. They'll send you a link and you just fill it out.
Once your insurance information is in the system, you don't have to keep sending it to them.
Unless you are able to respond relatively quickly to their request for information, you increase your chances of losing any load you negotiated with them. They can't hold out for a long time. My first load - dispatch sends me the rate con. Pickup was same day, and delivery was the next day. I called the contact info, naively thinking it was the shipper. I wanted to know if I could deliver the same day, or if I had to wait to deliver the next day. Turns out, I was talking to the broker.
Now my dispatch service has a DOT and MC. When I was first getting on with them, I was trying to add their DOT number to my insurance. Progressive said it didn't work like that. So I called dispatch manager back, and they said, okay use this DOT instead, because we have a Progressive insurance policy on that DOT number. So it's like my dispatch service has multiple DOT/MC numbers? In the end, I went ahead and just got my own authority.
Anyways, seems like they're looking for loads, and giving them to me. I can't tell if they're co-brokering, double brokering, or if they're just dispatching on my behalf. I haven't looked too deeply into it, honestly, because I plan on leaving these toolbags in the dust quick, fast, and in a hurry.
