I have a multi-function printer in my truck and I generally scan and email. For the very rare instances where the recipient didn't have email I would either email my dispatcher and have her fax it, or I would use one of the internet fax services. I had very few problems and one of the reasons is due to the higher quality of the scanned document vs. faxed... small print can be very hard to read on faxes sometimes.

I've never faxed to a broker. While getting unloaded, I'm on my 'puter generating and invoice. I scan the invoice, rate confirmation sheet and BOL when I get it back from the dock and attach it to an email. My customer (broker) is invoiced before I leave the receiver's lot.
It's nice to be able to print, sign, scan and email contracts, confirmations and all that jazz from the truck.

Gears, does your method seem to be universally accepted by everyone you deal with or do some insist on a fax?

So far in my world, I've never dealt with anyone that insisted on a fax. I did have one broker that wanted the stuff mailed to them, but after one load, they accepted my scans. I've printed out one of my color scans and it looks just like the original. Maybe they've gotten poor quality scans from other drivers in the past...who knows. My original thought was that their clock to pay an O/O started when they received the invoice and having guys mail their stuff in bought them a few extra days. While that may be the case with some brokers, it turned out not to be the case with this particular company.

What type of scanner are you using, I was looking at those small hand held ones that feeds the paper through, also do you carry a printer with you?

I have an HP all in one unit. It scans, prints and faxes, but I've never used the fax function. Have to have a printer on board to print confirmations, contracts and invoices. I print them, sign what needs to be signed, use the same machine to scan and then attach them to emails. Printer will scan in different formats including JPG and PDF.
