Why is it so hard to reimbursed?!

    I've only been with swift for a few months, and it hasn't been bad. I've never had a problem getting reimbursed for scales, load locks, lights, etc BUT last month our truck broke down and was in the shop for a week before we were told to take the bus back to Phoenix for a new one. We paid out of pocket for our crappy motel 6 room, which we were told would be reimbursed, and $250 to rent a car to get back (we had just come off hometime and had totally stocked the truck for winter-enough that couldn't be taken on a bus), which we were told up front would be entirely on us. They refused to even pay us for the cost of what the 2 bus tickets would've been. Ok, our fault, we shouldnt pack so much. I accepted that and didn't fight.

    We drove back, got a new truck, downsized our stuff to avoid a repeat, and took our receipts to our DM. He gave us POs for everything and said he'd put in for our breakdown pay...except for Monday and Tuesday, because he "couldn't get ahold of us." I guess that's what calling once and not leaving a message means. He called Monday afternoon, we didn't realize it was him, but we called Tuesday morning to check in anyway and found out then. Did I mention they knew the truck would be in the shop until at least Tuesday, and no one mentioned to us that we needed to call them everyday? Whatever, I let that one go too.

    Next check comes...no breakdown pay, no hotel reimbursement. Call DM, he says he did it and to call payroll. Talk to them, they say he did it wrong. On top of NOT putting in the breakdown pay, he wasn't suppose to do POs for hotel reimbursement. She laughed and told me he just did what was easiest for him, but they wont process it that way. She assures me she will fix it and we'll see it next check. Call DM back about breakdown pay, surprise! He went home early. Call again. And again. And again. He's on vacation. Great. At least we got the reimbursements fixed, right?

    Wrong. Looked at my statement today, and it's nowhere to be found. I'm waiting to calm down a bit before I try payroll again. This is rediculous.

    As a company driver you SHOULD call in everyday when you are broke down and out of the truck. This let's them know you are still alive.

    Now the big question. Did you keep copies of all your receipts or give everything to the DM? If not, bad choice again. Always keep copies of anything you turn in. Things do get "lost".

    Once you called in you were broke down, the DM should have send you an authorization PO for the Hotel. This would have went to the QC, but at least it is logged in the system.

    Keep the car rental receipt and file it with your taxes at the end of the year as a business expense.

    The DM does have a supervisor. Try talking to them first.

    If DM is on vacation, I'd call the Fleet Manager.
